This Privacy Policy describes how AppointmentChat ("we," "us," or "our") collects, uses, and protects information when you use appointmentchat.com (the "Site") and our AI receptionist service (the "Service").
Account information: When you sign up, we collect your name, email address, business name, business hours, services offered, and calendar connection.
Call data: Our AI receptionist records and transcribes inbound calls. This includes caller phone numbers, call duration, transcripts, and appointment details.
Payment information: Credit card and billing details are processed securely by Stripe. We do not store full card numbers on our servers.
Usage data: We collect standard analytics including pages visited, features used, and session duration to improve our service.
We do not sell your data or your callers' data to third parties.
All calls handled by AppointmentChat are recorded and transcribed. Our AI informs callers at the start of each call that the conversation is being recorded. Recordings are stored securely and accessible only to the business account owner via the transcript portal.
Data is stored in encrypted PostgreSQL databases hosted on Railway (US-based infrastructure). All data in transit uses TLS 1.2+ encryption. We implement industry-standard security practices including access controls, audit logging, and regular security reviews.
Call recordings and transcripts are retained for the duration of your subscription plus 30 days. Account data is deleted within 90 days of account closure upon request.
You may request access to, correction of, or deletion of your personal data at any time by emailing hello@appointmentchat.com.
AppointmentChat is a business service not directed to individuals under 18. We do not knowingly collect data from minors.
We may update this policy periodically. Material changes will be communicated via email to active subscribers.
