By accessing AppointmentChat.com or using the AppointmentChat service, you agree to these Terms. If you do not agree, do not use the Service.
AppointmentChat provides an AI-powered receptionist that answers inbound phone calls, qualifies callers, books appointments, and provides searchable call transcripts. The Service is designed for appointment-based businesses.
You must be 18+ and authorized to act on behalf of the business you register. You are responsible for maintaining the security of your account credentials. One account per business location.
New accounts receive a 14-day free trial with full access. A valid credit card is required to start the trial. If you do not cancel before the trial ends, your subscription automatically converts to the paid plan ($297/mo). You may cancel at any time during the trial with no charge.
Payments are processed by Stripe. By subscribing, you authorize recurring charges to your payment method.
You may cancel your subscription at any time. Cancellation takes effect at the end of your current billing period. No partial refunds for unused time within a billing cycle. Upon cancellation, your phone number is released within 7 days and call data is retained for 30 days before deletion.
The Service records and transcribes all inbound calls. The AI assistant discloses recording to callers at the start of each call. You are responsible for ensuring this complies with applicable state and federal recording consent laws for your jurisdiction. AppointmentChat operates under two-party consent disclosure as a default.

We target 99.9% uptime but do not guarantee uninterrupted service. Scheduled maintenance will be communicated in advance. We are not liable for carrier outages, force majeure events, or issues with your phone provider's call forwarding.
The AI receptionist is designed to handle common appointment-booking scenarios. It may occasionally misunderstand callers, book incorrect times, or fail to answer complex questions. You should periodically review transcripts and maintain a human escalation path for critical interactions. AppointmentChat is not a substitute for medical, legal, or emergency services.
The AppointmentChat service, including its AI models, interface, and documentation, is our intellectual property. Your business content (FAQs, services, hours) remains yours. Call recordings and transcripts belong to you and are deleted upon account closure.
AppointmentChat is provided "as is." We are not liable for missed appointments, lost revenue, or damages arising from AI errors or service interruptions. Our total liability is limited to the fees you paid in the 3 months preceding the claim.
These Terms are governed by the laws of the State of Texas. Disputes shall be resolved in Tarrant County, Texas.
We may update these Terms. Material changes will be emailed to active subscribers 30 days before taking effect. Continued use after changes constitutes acceptance.
